Trust Governance Insight Session Recordings

Some Trust Governance Insight sessions, or parts of sessions, are recorded. These recordings capture the speaker delivering the session, guest speakers (where they have consented to be recorded) and the slides used during any presentation. Where there is a break in the presentation
for discussion with the wider group, the recording is stopped so that wider contributors are not captured on the recording.

 

On some occasions, group participants may indicate in the session chat that they have a question or experience that they would be happy to share with the group, whilst the recording is taking place. These contributions are only recorded if the individual contributor indicates that they consent
to this.

 

At all sessions, participants are reminded that should they wish for any contribution to be removed from the session recording prior to its circulation, they should contact Trust Governance Professionals. Recordings are edited to remove any contributions as requested. Session recordings are shared with TGI members using a password protected link. If you do not want your name or image to be used in any recordings, please email
admin@tgpltd.co.uk.

Marketing and other contact

Where you are a marketing lead, we may contact you to follow up on your enquiries for TGP’s products and services. This may take the form of:

  • email, for example where you have made a previous enquiry about our services that we are following up, of where you are an existing participant and our marketing is about similar products. You can opt out of receiving marketing from us by emailing us at admin@tgpltd.co.uk

  • to participate in surveys or research – these may be for our own legitimate business intelligence and marketing purposes or for sectoral research requested by our partners (participation is always voluntary and wherever possible is anonymised)

  • offering you free trials or demonstrations of new products or services, or informing you about a product we think you will find useful

  • operating our ‘invite a colleague’ function, for example where your colleague has consented to joining one of our sessions

What is our lawful basis for processing personal information?

TGP processes information about our participants on the lawful basis of consent. We also process information in order to fulfil our contractual obligations with participants, and our legitimate interests when communicating with partners. This is in line with Article 6 of GDPR
and the UK Data Protection Act 2018.

Who has access to personal data within TGP?

TGP directors and employees may only access personal data if they require it to deliver a service to our participants, project clients and/or partners. TGP associates only have access to personal data limited to that relevant to the specific project that they are working on. Associates are subject to terms of engagement, which include data protection clauses.

Who do we share personal data with?

To support the delivery of services to our participants and/or partners, TGP uses third party organisations to provide specific functions and services. For example, GovernorHub provides the community portal for our Trust Governance Insight and Trust Governance Deliver participants; Zoho CRM is used for the purposes of managing and maintaining our customer service, our community’s experience and our partner communications. We use Microsoft 365, and our IT infrastructure is provided by Penntech Solutions. TGP’s insurers may also have access to the personal data we are holding on a limited basis - for example, we may need to disclose personal data to our insurers in the event of a claim. We share participant contact details with the Chartered Governance Institute and the Confederation of School Trusts only with participant consent, so that participants can access support and events associated directly with their membership of our programmes. Where TGP uses a third-party organisation we ensure agreements and appropriate security measures are in place to keep personal data secure.

How do we protect personal data?

TGP is committed to keeping the personal data that it holds safe from loss, corruption or theft. It has a number of security measures in place to do this including IT safeguards such as firewalls, encryption, and antivirus software. Where third party organisations are used, we also ensure that these adopt security measures such as multi-factor authentication.

How long do we keep personal data for?

TGP will only keep personal data about our participants and/or partners for as long as it is required to fulfil our contractual obligations or if we have an organisational need to do so. For example, we keep your name, role and contact details for the length of time that you are a participant on one of our programmes. We delete your contact details at the point in time that we are notified that you are no longer a participant on one of our programmes (e.g. due to a change in role).

Do we transfer personal data outside of the European Union?

Information is held on computer servers which are located within the European Union. We will take all reasonable steps to ensure personal data is not processed in a country that is not seen as ‘safe’ by the UK government. If we do need to send personal data out of the European Union we will ensure it has extra protection from loss or unauthorised access.

If you are a Data Subject what are your rights?

As a data subject, the Data Protection Act 2018 gives you a number of rights with regards to your personal information. These include to:

  • be informed about how we process your personal data. This notice fulfils this obligation

  • request access to your personal data that we hold, and be provided with a copy of it

  • request that your personal data is amended if inaccurate or incomplete

  • request that your personal data is erased where there is no compelling reason for its continued processing

  • request that the processing of your personal data is restricted

  • withdraw consent to your personal data being processed; you are able to remove your consent at any time. You can do this by contacting TGP at admin@tgpltd.co.uk

  • object to automated decision making and profiling

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you

What data do we process?

To deliver services for our clients, TGP processes personal data. Names, contact and address details are recorded on TGP’s databases but we only process personal data that is necessary to deliver our services. The data processing we undertake is covered by agreements with our programme participants and project clients, and to fulfil obligations with our partners.

 

We also process information about our participants and the people they work with to ensure the efficient and effective delivery of our services. The information we process may include, but is not limited to, personal identifiers (names, post titles etc) and other contact information (work email addresses and telephone numbers). We ask for dietary requirements when holding in-person events for the purposes of catering only. The personal information may relate to employees of our participants and partners. The information is collected directly from our participants and partners or from other public sources (for example organisational websites and published documents) as part of the ongoing delivery of our services.

Why do we process personal data?

We only process personal data so that we can deliver, manage, and check the quality of services that we provide to our participants and partners. We ask our participants and partners to only share personal data with us where it is required for the purpose of delivering
our services.
